Terms & Conditions of Hire
These Terms & Conditions apply to all bookings and hire services provided by The Toddler Town Company.
By placing a booking, paying a deposit, or allowing equipment to be delivered and installed, you confirm that you have read, understood and agreed to these Terms & Conditions in full.
1. Booking & Payment
A booking is only confirmed once the required deposit has been received.
The deposit is payable at the time of booking and is non-refundable. This secures your chosen event date and allows us to prepare for your booking.
The remaining balance must be paid in full no later than two weeks before the event date, unless otherwise agreed in writing by The Toddler Town Company.
Failure to pay the balance by the due date may result in cancellation of the booking and loss of the deposit.
2. Cancellations & Date Changes
All deposits are non-refundable.
Date changes may be offered at the discretion of The Toddler Town Company and are subject to availability.
No refunds will be issued for cancellations made within 14 days of the event date. If the final balance has already been paid, this payment will also be non-refundable.
If The Toddler Town Company is unable to fulfil a booking due to unsafe weather conditions, equipment failure, staff illness, access issues beyond our control, or other unforeseen circumstances, we will offer either an alternative date or a refund where appropriate.
3. Delivery & Collection
The hirer must provide safe, clear and suitable access to the setup area.
The hirer or a responsible adult must be present at the agreed delivery and collection times.
Additional charges may apply where:
Access is restricted
Parking is unavailable
Waiting time is incurred
The setup location differs from the information provided
Incorrect or incomplete information was supplied at the time of booking
If our team is unable to complete delivery, setup or collection due to access issues, parking restrictions, unsafe conditions or inaccurate information provided by the hirer, the booking may remain chargeable in full.
4. Climbing Frame Access Requirements
For bookings that include the Climbing Frame, the hirer must ensure the following access requirements are met:
Minimum doorway width of 80cm
Step-free access to the installation area
A minimum setup space of 2.5m x 2.5m
Adequate space for safe assembly and use
Clear access route from the delivery vehicle to the setup area
If our team arrives and is unable to complete the setup due to inadequate access, steps, narrow doorways, unsuitable surfaces, insufficient space, or incorrect information supplied by the hirer, the booking will remain chargeable in full and no refund will be issued.
5. Equipment Sizes & Space Requirements
It is the hirer’s responsibility to ensure there is enough space for all equipment booked.
Approximate equipment sizes are:
Bouncy Castle: 10ft x 10ft with a height of approximately 7.4ft
Bubble House: 12ft x 13ft
XL Ball Pits: Between 7ft and 9ft depending on the package selected
Customers must carefully measure the setup area, ceiling height where applicable, doorway widths and access routes before booking.
Please allow additional clearance around all equipment for safe setup, supervision and operation.
If equipment cannot be installed due to insufficient space, restricted access, low ceilings, unsuitable surfaces or incorrect measurements provided by the hirer, the booking will remain chargeable in full and no refund will be issued.
6. Safety Responsibilities
Adult supervision is required at all times while the equipment is in use.
The hirer is responsible for ensuring that all children and guests use the equipment safely and follow these Terms & Conditions.
The following are strictly not permitted on or near the equipment:
Shoes
Food or drinks
Chewing gum
Jewellery
Face paint
Glitter
Confetti
Party poppers
Silly string
Sharp objects
Pets
Rough play, fighting, climbing on walls, flips, somersaults or any behaviour considered unsafe is strictly prohibited.
The Toddler Town Company reserves the right to refuse, pause or stop use of the equipment if unsafe behaviour or unsuitable conditions are identified.
7. Soft Play & Age Restrictions
Soft play equipment is intended for children aged 0–6 years only, unless otherwise stated.
Equipment must be supervised by a responsible adult at all times and must be kept clean and dry.
No food, drinks, slime, paint, glitter, craft materials or similar substances are permitted on or near the equipment.
Adults and children outside the recommended age range must not use the soft play equipment.
The hirer is responsible for ensuring that all users comply with the recommended age restrictions and safety guidelines.
8. Weather Conditions
Equipment must not be used during high winds, thunderstorms, heavy rain, snow or any weather conditions that may compromise safety.
The Toddler Town Company reserves the right to cancel, postpone, suspend, delay or refuse any outdoor installation if weather conditions are considered unsafe.
If weather conditions change during the hire period, the hirer must stop use of the equipment immediately and contact The Toddler Town Company where required.
Where The Toddler Town Company has to cancel, postpone or refuse an outdoor installation due to unsafe weather conditions, no refund will be issued. Instead, we will work with the hirer to arrange a suitable alternative date that is mutually agreed by both parties and subject to availability.
Safety will always take priority over event plans.
9. Damage, Loss & Cleaning
The hirer is responsible for all hired equipment from the time of delivery until collection.
The hirer agrees to pay for any loss, theft, damage, repairs, replacement costs or excessive cleaning required due to:
Misuse
Negligence
Staining
Damage caused by food, drink, face paint, glitter, confetti, silly string or sharp objects
Failure to follow these Terms & Conditions
Failure to properly supervise users
Charges may be up to the full replacement value of the equipment.
10. Liability
All users use the equipment at their own risk.
The Toddler Town Company accepts no responsibility for injury, loss, damage or accidents arising from:
Misuse of equipment
Lack of supervision
Failure to follow safety instructions
Use by children outside the recommended age range
Unsafe behaviour by users
Unsuitable setup areas provided by the hirer
Weather-related incidents during the hire period
Nothing within these Terms & Conditions excludes or limits liability where such exclusion or limitation is prohibited by law.
11. Site Requirements
The setup area must be level, clean, dry, free from obstacles and suitable for installation.
Where required, power supplies must be available, safe and accessible.
The Toddler Town Company reserves the right to refuse installation if the site is considered unsafe, unsuitable or poses a risk to users, staff or equipment.
If installation is refused due to unsuitable site conditions or inaccurate information provided by the hirer, the booking may remain chargeable in full.
12. Hirer Responsibilities
The hirer agrees to:
Provide accurate booking and access information
Measure the setup area and access routes before booking
Ensure a responsible adult is present for delivery and collection
Supervise the equipment at all times
Ensure all users follow safety rules
Keep the equipment clean and dry
Stop use immediately if conditions become unsafe
Report any damage, accidents or issues to The Toddler Town Company as soon as possible
13. Acceptance
By paying a deposit, confirming a booking, signing a hire agreement, or permitting installation of equipment, the hirer confirms that they have read, understood and accepted these Terms & Conditions in full.
